Packaging Questions to Discuss Before Shipping Wall Panels Overseas

Begin the Packing Discussion Before Approval

Packing is part of the order scope and should be discussed while the product and quotation are being confirmed. Identify the actual panel dimensions, finish, quantity and destination, then explain how the goods will be received and handled. Ask which packing arrangements are available for that product. A photograph of another shipment does not establish what your order includes. Record the agreed configuration and any options that still need review before the seller begins packing, so changes can be considered with the commercial and scheduling implications visible.

Ask About Surface Protection

Discuss whether protective film, separation material or another surface protection method is available and suitable for the selected finish. Ask how the material is applied, how it should be handled on arrival and whether the supplier has relevant product-specific guidance. Do not assume that one protection method fits every surface. Clarify which materials and quantities are included in the quotation. If a particular finish needs additional handling instructions, request the actual information rather than making a general claim about scratch resistance or transport performance.

Review Edges, Corners and Movement

Ask how panel edges and corners will be protected and how movement within the package will be controlled. Review the proposed arrangement with reference to the actual panel size and handling plan. If you require a specific corner protector or separation material, state that request and ask whether it can be supplied. Confirm what evidence, such as packing photos, can actually be provided for the order. The discussion should produce a clear description of the selected protection, not an unconditional promise that no damage can occur during transport.

Confirm the Package Configuration

Ask how many panels are counted in each package, how the quantity unit is described and what the proposed external package information will be. Discuss cartons, pallets or other arrangements only as options that need order-specific confirmation. Identify restrictions at the destination, receiving site or transport provider that may affect the choice. If a pallet or other wood packaging is proposed, ask the responsible logistics professional to confirm applicable destination rules. Do not infer compliance, load capacity or handling suitability from a generic packing image.

Make Labels Useful to the Receiver

Agree on the marks needed to identify the order, product reference, finish and quantity. Ask what actual batch or package identification system is used and whether the selected marks can be applied. Keep accessories identifiable so the receiver can match them to the installation list. Private-label artwork or special labels should be discussed before quotation, including feasibility, approval steps and any order conditions. Send the final approved wording or artwork through the agreed channel and keep a copy with the order record.

Discuss Loading and Responsibility

Ask how the proposed packaging connects with the transport arrangement and what loading information is available. Identify who arranges transport, who receives the goods and which delivery assumptions the quotation uses. Confirm any known handling instructions with the supplier and logistics provider. Shipping cost, timing, insurance and responsibility for different stages need agreement for the actual order; they should not be inferred from a general website statement. If you request loading photos or records, establish which can be provided and when they will be shared.

Plan the Arrival Check Before Shipment

Give the receiving team the product and packing references they need to check the delivery. Discuss what photos or video should be taken if a package arrives damaged or the quantity or specification appears different. Record the package condition, labels, affected goods and quantity clearly, and retain the relevant packaging while the matter is reviewed. Share the order reference and evidence promptly through the agreed contact channel. The applicable response follows the confirmed order terms and available information. A useful packing discussion prepares both the shipment and the receiving process without inventing a warranty or remedy.

Review the product specification checklist and order confirmation process.
